Rendering Submission & Risk Assessment: 
All sponsors with an Exhibitor Appointed Contractor (EAC) contracted build are required to submit a detailed booth build rendering of the space and a risk assessment. The booth build rendering must include the below details:
  • Sponsoring company name
  • Sponsoring company booth number
  • All structures, graphic, furnishing and flooring assets
  • Dimensions for all items within the space

Insurance: 
Sponsors AND Exhibitor Appointed Contractors are required to submit insurance in order for booth building to occur. Any booths without a submitted insurance policy for the SPONSORING COMPANY WILL BE DENIED PERMISSION TO BUILD. 

Please have all sponsoring company insurance information submitted by August 31, 2026. Please see our INSURANCE REQUIREMENTS PAGE for move details.

Move In & Move Out: 
As mentioned above, EAC'S WILL NOT HAVE ACCESS TO MOVE IN A BOOTH UNTIL A SPONSOR HAS SUBMITTED AN APPROVED INSURANCE POLICY. For details regarding submitting, requirements, etc., please see our Insurance Requirements page.

During event move in days, upon checking in at the EAC Check In Desk (located in the Bayside Foyer outside of Bayside B), all EAC staff and workers will receive a wristband. To ensure your team has proper Health & Safety apparel and requirements needed to gain access to the floor, please review our Exhibitor Onsite PPE Requirements page. Please note, check in is required at the start of each day at our EAC Check In Desk. On the morning of show opening day, we will distribute wristbands from our Information Desk (located near the Bayside Foyer Security Desk), which will give EACs access to the floor for one hour prior to show open. For any EAC staff needing access to the show floor during show days, a Crew Badge will be required which can be attained through your client.
